A participant may cancel all or part of a registration and receive a refund if ETTC receives the request before the refund cutoff and the tournament draw date.
Each participant-requested refund is subject to one $10 administration fee per cancellation request. The administration fee will not exceed the amount otherwise refundable.
No cash refund will be issued for a participant-requested cancellation received after the refund cutoff, including when another player later fills the vacated place or when the withdrawal results from illness, injury, travel, scheduling, or another personal circumstance.
For a documented medical emergency or another exceptional circumstance, the Tournament Committee may provide a future ETTC tournament credit. A credit is discretionary and is not guaranteed.
Before the refund cutoff, a participant may cancel one or more selected events without cancelling the entire registration. The refundable amount is the amount paid for the cancelled event or events, less one $10 administration fee for the cancellation request.
A general registration, membership, sanctioning, or other fee that continues to apply to the remaining registration will not be refunded. If all events are cancelled in the same request, ETTC will calculate the refund as a cancellation of the entire registration.
No refund is due when the Tournament Committee provides a reasonably equivalent opportunity to compete, including a combined event or modified playing format.
If ETTC cancels an event and does not provide a reasonably equivalent alternative, the amount paid for that event will be refunded in full. The $10 administration fee does not apply to an organizer-initiated cancellation.
If ETTC refuses or removes an entry for an administrative reason not caused by the participant, the affected registration fee will be refunded in full.
No refund will be issued when a participant:
Cancellation requests must be submitted through the ETMS cancellation function or another written method designated by the Tournament Committee. The time ETTC’s system receives the request determines whether it met the refund cutoff.
Approved refunds will be returned to the original payment method, normally within 10 business days. Membership or sanctioning fees already remitted to another organization are refundable only to the extent that organization returns them to ETTC.
ETTC is committed to a safe, welcoming, and inclusive environment. Players, coaches, officials, volunteers, spectators, and all other attendees must comply with the ETTC Code of Conduct and all applicable Safe Sport policies.
Harassment, abuse, discrimination, bullying, intimidation, violence, retaliation, or other misconduct will not be tolerated. Consequences may include a warning, removal from the venue, disqualification, forfeiture of prizes, suspension of playing privileges, or referral to the appropriate governing body, without refund where this policy provides.
If circumstances beyond the reasonable control of the Tournament Committee—including severe weather, facility closure, public-health orders, equipment failure, or another emergency—affect the tournament, the Committee may postpone, reschedule, modify, or cancel all or part of the event.
The Committee may provide a rescheduled event, tournament credit, partial refund, or full refund after considering the portion of the tournament completed, the services and competition already provided, and unavoidable non-recoverable expenses. The Committee will communicate its decision and the basis for it to affected participants.
By registering, participants consent to ETTC’s collection, use, and disclosure of personal information for registration, scheduling, communications, results, ratings submission, and other purposes directly related to tournament operations. ETTC will handle personal information in accordance with applicable privacy legislation.
By registering, each participant—or their parent or legal guardian where required—permits ETTC to photograph and make audio/video recordings during the tournament and use them, without compensation, in results, news releases, promotions, websites, social media, and club publications.
